| How
to join an audio conference |
|
| Participating
in an audio conference is easy. You simply dial into our system. |

| Dialing
in |
|
1.
Dial the designated phone number.
2. You will be prompted to enter your access code, which establishes
your role in the conference (chairperson or participant).
3. Respond to other prompts as requested.
Upon
entering the conference, you may either hear a recorded message
indicating you are the first participant to join or you may hear
your arrival being announced to others. If you hear music, wait
for the chairperson to join and the conference to begin. |

| Tips
for a successful audio conference |
|
•
Make sure you are in a quiet location where you will not be disturbed.
• Use appropriate equipment. Cellular or cordless phones are
more likely to cause static or other distracting noise. Speakerphones
pick up background noise. If no one in your room needs to speak, use
the “mute” button on the phone to prevent background noise
from disrupting the conference. When someone needs to speak, simply
release the “mute” button.
• If your line starts beeping with call waiting, it can be confusing
and disrupting to the meeting. Most call-waiting features can be deactivated
by dialing “70#” before dialing into the conference. Check
with your local phone service provider if you are unsure how to deactivate
this function on your phone.
• Be on time or early for a conference. It is especially helpful
for the call host or chairperson to arrive a few minutes early to
greet each participant and to assure that the conference starts on
time.
• During the conference follow these useful tips: |

1. Introduce yourself when you begin speaking. Others may not recognize
your voice.
2. If you are the host and need assistance, press
“*0” on your phone keypad.
3. Don't put your phone on HOLD.
If you have hold music it will play into the conference call, making
it difficult for other participants to continue the meeting in your
absence. You may use the “*6” function to mute your individual
line, and you can avoid playing hold music into the conference. Un-mute
by dialing “*6” when you return.
4. If you are the host and wish to mute all participant
lines simply press “*5.” Once you are finished with your
presentation or if you wish to field questions during the presentation,
press “*5” again to un-mute the participant lines
5. If you are the host, try to stay on schedule.
Be mindful of how the meeting is progressing in relation to the number
of outstanding agenda items and the time remaining.
6. End the call clearly. Make sure all the participants
know the meeting is formally over, and stay on the line to ensure
everyone hangs up. Remember you or the host will be billed for every
minute of connection time to the conference. |

| How
many people can I have on a call? |
|
| You
may have up to 300 people on a call at one time. |
| |
|
| Are
the conference calls private and secure? |
|
| Yes.
There are several features to help ensure that conference call is
private and secure. To begin with, each call has a unique access code
for entry. There is also a short tone heard on the conference call
whenever anyone exits or enters the conference. |

| Can
I make international conference calls? |
|
| Yes,
you should be able to reach our conference systems from anywhere in
the world. It’s important to note that international long distance
charges will apply. |

| What
are the system requirements? |
|
If you are using a Windows-based Operating System, you need either
of the following browsers: Internet Explorer 5.5+ or Netscape 7.1+.
If
you are using a Mac OS Operating System, you need to be on a Mac
OS 10.x and either Netscape 7.1+ or the new Apple Safari browser.
Note: The marker tool is not available in the Safari browser.
If
you are using a Linux Operating System, you need one of the following
browsers: Netscape 7.1+ or Mozilla 1.0+ |

| What
are the software requirements? |
|
| You
do not need to download any special software to participate. You need
only a supported operating system and a supported browser with Java
Virtual Machine (JVM) installed and configured properly. If you do
not have JVM or it’s not configured properly, you will be unable
to view shared applications. However, you can still view PowerPoint,
Word and Excel documents. |

| What
affects the performance of my meetings? |
|
| There
are a few factors: Internet connection speed; the resolution and color
depth of the applications being shared; the Internet traffic between
the host, participants and servers; and the performance of firewall/proxy
servers the host and/or attendees go through if such devices exist. |
| |

| What
type of documents can I publish? |
|
| You
can publish MS Word, MS Excel and MS PowerPoint. |
| |
|
| Can
I publish more than one document at a time? |
|
| No.
If you need to show a different document, simply publish the new one,
and it will replace the old one. |
| |
|
| Are
attendees required to have the software I’m sharing on their
computers? |
|
| No.
You are only sharing a view of the application so participants do
not need any special software. |
| |
|
| Can
I remotely control a participant’s computer even if he or she
is on a different platform? |
|
| Yes,
as long as the controlled platform is running a Windows-based Operating
System with Internet Explorer 5.5 or higher. |
| |
|
| Do
I have the ability to record the conference? |
|
| Recording
of a web conference is available upon request. Request must be submitted
24 hours in advance. For more information about recording a Web conference,
e-mail info@easytomeet.com. |

| I
keep getting an error message when I try to log in. |
|
| Note
the error message, check login credentials and try again. If that
doesn’t work, try reversing the credentials. Pop-up blockers
should be disabled. Session Cookies should be enabled in the browser. |

|
| When
I try to log in, I can’t get the conference screen to come up. |
|
| If
you are receiving an error message, make note of it. Check to make
sure that cookies are enabled, pop-up blockers are disabled and your
Internet connection is OK. |

|
| I
can login, but then I see only a black screen. |
|
| Mostly
likely, this is DirectX related. DirectX may be corrupt or missing.
Reinstall or upgrade to the latest version of DirectX. |
| |
|
| A
participant is unable to join my meeting. |
|
| First,
make sure that the conference has started. The host must click the
START button located on the web-conference toolbar before participants
can join. Also, make sure that the participant is using the correct
login credentials, has cookies enabled, pop-up blockers disabled,
and that his or her Internet connection is good. If a participant
still can’t join the meeting, call e2m technical support at

| I
can’t publish my presentation. |
|
| If
the upload never completed, probably because of a network connection
interruption, try publishing the document again. If you received an
error message, your document likely contained unsupported features
such as password protection. |

can’t share an application or document with participants. |
|
| Most
likely, the host is unable to accept the ActiveX download. ActiveX
is required for document or application sharing. |
